Why export proposals as PDF
Exporting your proposal as a PDF gives you a shareable, professional document to send directly to clients. PDFs preserve your formatting, pricing, and layout exactly as designed—no matter what device or email client the recipient uses.
How to export a proposal as PDF
- Open the proposal you want to export.
- Click the Export button (top right of the proposal).
- Select PDF from the dropdown menu.
- Choose your export options (see options below).
- Click Download. The file saves to your computer's default downloads folder.
Export options
Include client branding Adds your client's logo and brand colors to the PDF. Leave unchecked to show only your agency branding.
Include pricing details Shows line-item costs, discounts, and the total project fee. Uncheck this if you're sharing an early draft or want to discuss pricing separately.
Include terms & conditions Attaches your standard terms, payment schedule, and contract language to the final page. Useful for formal proposals; skip it for initial quotes or concept documents.
Page layout
- Single-page summary – Condenses the proposal to one page. Best for quick quotes.
- Full proposal – All sections on separate pages. Use this for detailed, multi-phase projects.
Naming and sharing your PDF
The exported file automatically names itself using your proposal title and export date (for example, Website Redesign - Jan 15 2024.pdf). You can rename it before sending.
Share the PDF via email, cloud storage, or your client portal. Once sent, any edits you make to the proposal in Campaignly won't appear in the PDF—clients always see the version they received.
Important notes
Inactive proposals – You can still export proposals marked as rejected, expired, or won. This is helpful if you need a record or want to repurpose old work.
Digital signatures – PDFs exported from Campaignly don't include built-in e-signature fields. If you need clients to sign digitally, use Campaignly's Send for Approval feature instead, which embeds a signature box in the email.
File size – Large proposals with embedded images may create bigger PDFs. If file size matters (slow email or limited attachment limits), export without client branding to reduce the file.
Custom fonts – Campaignly uses web-safe fonts to ensure PDFs render consistently. Uncommon custom fonts may appear differently in the exported PDF than they do on screen.
